Business Process Re-Engineering and Rapid Results Approach Workshop/Training at LU

The University held three-day training on Business Process Re-engineering (BPR) and Rapid Results Approach (RRA) on Wednesday, 19th January, 2022 to Friday, 21st January, 2022. The training was as a result of an invitation of the Directorate of Public Service Transformation Directorate-State Department of Public Service by the Vice Chancellor.  The training was held under the office of the Ag. Deputy Vice Chancellor - Administration, Finance and Planning and organized by the Directorate of Planning and Performance Management. The members of the University Management Board, led by the Vice Chancellor Prof. Kibett Rotich, Ag. Deputy Vice Chancellor - Administration, Finance and Planning, Prof. Albert Rutere, Ag. Deputy Vice Chancellor - Academic, Research and Student Affairs, Registrar - Administration and Human Capital, Dr. Hezron Nyamwega, Deans, Directors and interested members of staff attended this training. The facilitators were Ms. Betty Soita - Director and Dr. Daniel Otwoma - Deputy Director, Directorate of Public Service Transformation. The training was officially opened by the Vice Chancellor.

The outcome of the training was the identification of Business Processes to be re-engineered in the University and the thematic areas of Rapid Results Initiatives derived from the University Council Performance Contract and Strategic Plan FY-2018/2023, appointment of implementation teams, setting of deadlines and date of celebration of achievement and official launch on the 100th day.

A. RAPID RESULTS INITIATIVE PROJECTS/PROGRAMMES

Strategic Objective: To produce quality graduates in line with industry demands by developing and reviewing Academic, Research, Innovation and Consultancy programmes of the University.

Challenge: Realization of quality graduates in line with industry demands

RRI Goals:

  1. To design and launch eight (8) short courses in 100 days (21st January, 2022-30th April, 2022)
  2. Operationalize the University radio station in fifty (50) days (21st January, 2022-12th March, 2022)

Strategic Objective: To increase service delivery and customer satisfaction by enhancing governance, quality assurance, human capital and improving physical infrastructure.

Challenge: -Inadequate physical infrastructure to support quality service delivery

RRI Goals:

  1. Increase the number of usable lecture chairs in the university from 4300 to 4800 in 100 days (21st January, 2022-30th April, 2022)
  2. Equip the gymnasium from zero (0) % to fifteen (15) % in 100 days (21st January, 2022-30th April, 2022)
  3. Increase the number of white boards in lecture halls from forty one (41) to sixty (60) in 100 days (21st January, 2022-30th April, 2022)
  4. Increase the number of reading shades from ten (10) to fifteen (15) in 100 days (21st January, 2022-30th April, 2022)

Challenge: Inadequate physical infrastructure to support quality service delivery

RRI Goals

  1. Refurbish the female and male medical wards to Ministry of Health Standards by fifteen (15) % in 100 days (21st January, 2022-30th April, 2022)
  2. Install 100% perimeter fence in four critical areas in 100 days (21st January, 2022-30th April, 2022)

Strategic Objective:

To improve financial status of the University by resource mobilization and prudent use of financial resources.

Challenge: Inadequate financial resource to support university operations

RRI Goal

Construct one zero grazing unit with a capacity of fifty (50) cows in the University farm in 100 days. (21st January, 2022-30th April, 2022)

Challenge: Inadequate financial resource to support university operations

RRI Goal: To construct a business Centre with a capacity of four (4) outlets to fifty (50) % completion within 100 days (21st January, 2022-30th April, 2022)

 

B. BUSINESS PROCESS RE-ENGINEERNING

1. Student Admission and Reporting Process

Strategic Objective: To increase service delivery and customer satisfaction by enhancing governance, quality assurance, human capital and improving physical infrastructure;

Challenge: Bureaucratic admission and reporting processes.

BPR Objective: To reduce the time taken for student admission and reporting.

2. Teaching and Examination Process

Strategic Objective: To produce quality graduates in line with industry demands by developing and reviewing Academic, Research, Innovation and Consultancy programmes of the University;

Challenge:  Gaps in registration, teaching and examination processes.

BPR objective: To enhance reliability and efficiency of the registration, teaching and examination processes.

3. Graduation, issuance of certificates and Official Transcripts Process

Strategic Objective: To increase service delivery and customer satisfaction by enhancing governance, quality assurance, human capital and improving physical infrastructure;

Challenge: Delays in graduation, issuance of official transcripts and certificates.

BPR Objective: To eliminate bottlenecks in graduation, issuance of official transcripts and certificates.

The Vice Chancellor launched the Rapid Result Initiative and Business Process Re-engineering performance management approaches geared towards ensuring completion of the projects, programmes within 100 days and turnaround in the service delivery of the targeted processes.

The University has begun a journey to ensure completion of the targeted projects and programmes and with midterm review on 15th March, 2022 and launch and celebration of achievements on 30th April, 2022.
