Message from the Registrar

The Office of the Registrar is the technical arm of the Academic Division at the University. Principally the office holds the KEY to Entry into and Exit of students from the University. The department is headed by the Registrar, who works under the direction of the Deputy Vice Chancellor (Academic, Research and Student Affairs).

According to Laikipia University Statutes, 2021, Statute XI (5), the Registrar in charge of Academic Affairs is responsible for managing academic matters. Specifically, the functions of the Registrar in charge of academic affairs include: 

  1. Coordinating the enrolment and registration of students;

  2. Developing, maintaining, and securing student records;

  3. Supervising the process of issuance of certificates and final transcripts;

  4. Coordinating academic planning including the use of classrooms and other academic facilities;

  5. Coordinating the administration of student academic affairs;

  6. Being in charge of the interpretation and enforcement of academic policies and regulations;

  7. Advising the Deputy Vice Chancellor, Academic, Research, and Student Affairs on formulation and evaluation of academic programmes, policies, and procedures;

  8. Being the Secretary to the Senate, Deans Committee and Deputy Vice Chancellor, Academic, Research and Student Affairs’ Student Disciplinary Committee;

  9. Preparing and submitting periodic reports on academic affairs, relevant statutory requirements, and the overall status of the Department to the Deputy Vice Chancellor in charge of Academic, Research, and Student Affairs; and

  10. Undertaking such other responsibilities as shall be assigned by the Deputy Vice Chancellor in charge of Academic, Research, and Student Affairs.

To execute the functions, the Registrar AA is assisted by the Deputy Registrar and other administrative staff who are in charge of various roles which include; student management, student academics, student records and registry, senate and deans committee secretariat. Specifically, the office of the Registrar Academic Affairs is in charge of the following components which constitute academic Affairs: student management; academic matters; administration; management of the graduation processes; and post-university engagements.

  1. Student Management
    1. Coordinates admission of students into various programmes
    2. Oversees the issuance of admission letters to new students, semester reporting of students, course registration, orientation of new students, and fee collection
    3. Handles student Intermissions such as academic leaves, deferments, suspensions, discontinuation, and student exchange programmes
  2. Academic Matters
    1. Oversees  course allocation to lecturers
    2. Oversees teaching by collaboratively working with deans to ensure class attendance for both lecturers and students is maintained, and that there is the teaching of approved courses
    3. Oversees examinations process is undertaken as per procedure in collaboration with the director examinations and timetabling; ordinary semester examinations, special exams and supplementary exams, and retakes
  3. Administration
    1. Develops and reviews academic policies and ensures enforcement thereof
    2. Communicates decisions of the University Senate and Deans committee to students e.g. opening and closing, approval of deferments, etc
    3. Plans and does scheduling of academic activities
    4. Allocates lecture rooms
    5. Maintain students’ records
  4. Management of the Graduation Processes:
    1. Oversees approval of examination results by the Senate
    2. Coordinates the preparation of the graduation list
    3. Handles student clearance matters
    4. Issues official transcripts and certificates to graduates
  5. Post-University Engagements:
    1. Creates avenues for Alumni networking
    2. Provides data to the quality assurance directorate for the execution of Exit and tracer surveys
    3. Undertakes graduate referrals and verification of certificates
